Cancelling a booking as the business

How to cancel a client's booking from the cabinet, what happens to a session package, how the client finds out and what to do with the freed time.

If a visit can't happen on your side — the specialist is ill, plans changed, or the client asked you by phone to cancel — cancel the booking in the calendar. YEMISCE notifies the client and frees the time.

How to cancel a booking

  1. In the calendar, click the booking and choose “Details”.
  2. At the bottom of the booking card, click “Cancel”.
  3. The “Cancel booking?” window opens with the client, date, time and service. Under “After confirmation” YEMISCE explains what will happen:
    • the booking will be cancelled but kept in history;
    • the client will receive a cancellation notification;
    • the time will become available again.
  4. Click “Cancel booking”. If you change your mind, click “Keep booking”.

The “Cancel” button is only there for confirmed bookings whose time hasn't come yet. A past visit isn't cancelled: mark it with “Complete visit” or “Client did not come” instead — see Completing a visit and no-shows.

If the booking used a session package

The session goes back into the client's package. The exception is when fewer hours are left before the visit than set in the package settings: the window then warns that the visit will be forfeited from the package. See Session packages.

Group classes and series

  • One participant of a group class. Click the class tile and click “Cancel” next to the participant. YEMISCE asks “Cancel this participant's booking?”. If the participant paid a prepayment, there is no “Cancel” button next to them: click “Details” and cancel the booking there — that way you can decide what to do with the prepayment.   • A whole recurring series. Click any booking in the series and choose “Cancel entire series”. In a group class this button sits next to a participant who has a series and cancels only their upcoming visits. The button is there as long as the series still has upcoming visits. What the client sees

The client receives a cancellation notification. This event is required and can't be turned off in “Settings” → “Notifications”. In their “My bookings” cabinet and on the booking link they will see that the booking is cancelled.

Freed time

A cancelled booking disappears from the calendar. If its time hasn't come yet, a “freed” tile appears in its place. You can:
  • fill it with another client using “Fill” — for example, from the waitlist;
  • give it to a client who agreed to come earlier — see “Offer an earlier time”;
  • publish it as “Open today” if the time is today.
If a booking for today is cancelled and “Allow “open today”” is on in “Settings” → “Booking”, YEMISCE prepares the opening in “Free openings” itself or publishes it straight away — depending on the “Publish freed time automatically” switch.

FAQ

Where can I find a cancelled booking? In the client's card under “Clients”, in their visit history. Cancelled bookings are not shown in the calendar.
What happens in Google Calendar? If the specialist has connected Google Calendar, the booking's event is removed from it.
Can a team member cancel bookings? Yes, their own bookings — if they have the “Cancel own bookings” permission. See Staff permissions.
“This status can only be changed for confirmed bookings.” appeared. The booking is no longer confirmed: it has been cancelled (for example, the client did it themselves via the link) or marked “Completed” or “No-show”. Refresh the page.
“Only upcoming confirmed bookings can be cancelled. For a past visit, mark it as “No-show”.” appeared. The booking's time came while the card was open. Refresh the page and mark how the visit ended.
