Team member permissions

What a team member can do in their dashboard: schedule, bookings, rescheduling, cancelling, client contacts, colleagues’ calendars and the client file. What is on by default and how to change it.

You decide what each team member can do in their own dashboard. Permissions are set per person, on their card in the “Team” section.
Some actions are available to every team member without any permission: viewing their own bookings, blocking time for themselves, adding unavailable time and days off, and marking their own past visits with “Complete visit” and “Client did not come” — see Completing a visit and no-shows.

Where to change permissions

  1. Open “Team” and click the team member’s row.
  2. In the “Dashboard access” block, turn the switches on or off.
  3. Click “Save”.
Changes apply immediately — the team member sees them as soon as they reload the page.

What each permission does

The default for a new team member is in brackets.
“Edit own working schedule” (off) The team member can change their own working days and hours in “My schedule”. Without it, they see the schedule read-only, marked “Schedule is edited by the owner”. They can always add unavailable time and days off for themselves — see Specialist schedule.
“Create bookings in own calendar” (on) The “Booking” button in “My calendar”: the team member books a client with themselves, for example after a phone call. With this permission, or with “Edit own working schedule”, they can also publish their free time for today as “Open today” — see “Open today”.
“Reschedule own bookings” (on) The “Reschedule” button in a booking, and dragging in the calendar if “Drag bookings in calendar” is on for the business.
“Cancel own bookings” (on) The “Cancel” button in the team member’s bookings.
“See customer contacts for own bookings” (on) The booking shows a “Details” block: the client’s phone and email, answers to custom booking fields, and the client’s reply to the post-visit check-in. Without it there is no “Details” block: the booking shows the client’s name, the service, the time and the status. The “Booking” form then doesn't suggest existing clients' phone numbers — the number is typed by hand, and YEMISCE still links the booking to the client card with that number.
“See other team calendars” (off) The team member can switch to colleagues’ calendars and see when they are busy. View only: client contacts on other people’s bookings are hidden, and they cannot reschedule or cancel colleagues’ bookings or block time for them.
“Create bookings for other team members” (off) The team member can book a client with a colleague. It only works together with “See other team calendars”, so turning this permission on turns that one on too — there is a hint about it under the switch. If you turn off “See other team calendars”, this permission turns off as well.
“See the client file on other specialists’ bookings” (off) The team member sees colleagues’ notes about client visits. Authors always see their own notes. This only matters if “Client file” is turned on in “Settings” → “Booking”. See Client file: visit notes.

Typical set-ups

  • A specialist who just sees clients. Keep the defaults.
  • A receptionist who books clients for everyone. Turn on “See other team calendars” and “Create bookings for other team members”.
  • A specialist with a flexible schedule. Add “Edit own working schedule”.
  • A trainee without access to booking details. Turn off “See customer contacts for own bookings”.

FAQ

The team member doesn’t see “Complete visit” and “Client did not come”. They only appear on the team member’s own confirmed bookings whose time has arrived. No permission is needed. Team members can’t mark colleagues’ visits, even if they can see their calendars.
Can a team member see reviews, statistics or the client base? No. These sections exist only in the owner dashboard.
Do the switches affect my own card on the team? Your own card has no switches: you sign in as the owner and have full access — see The owner as a specialist.
How do I temporarily close the whole dashboard for a team member? Open their card and click “Disable access”. Details are in Adding a team member and inviting them to the dashboard.
