Group bookings

How to set up a service that several clients book for the same time — a class, a workout or a workshop — and how to manage participants in the calendar.

Group bookings suit sessions where one specialist works with several clients at once: yoga, workouts, workshops, group lessons. You set the number of places, and clients book the same time until the places run out.

How to turn on group bookings for a service

  1. Open “Services” and click the service you need (or create a new one with “Add service”).
  2. Go to the “Advanced settings” tab.
  3. In the “Capacity” field, enter how many people can attend one session, for example 8.
  4. Click “Save”.

A value of 1 means an ordinary one-to-one booking; this is the default. Any number above 1 makes the service a group service.

What the client sees

When a client books a group service, each time shows how many places are left, for example “5 free”.
  • The first client who picks a free time effectively opens a new session.
  • Other clients can book the same time while places remain.
  • When no places are left, that time disappears from the page.

Each participant books separately — with their own name and phone — and gets their own confirmation and reminders. To book several people, each makes their own booking, or you add them yourself (see below).

A group session in the calendar

In the calendar a session appears as one tile with the number of people booked and the total number of places, for example “3/8”.
Click the tile to see the list of participants. Each has their booking status and buttons:
  • “Details” — opens the participant's booking;
  • “Cancel” — cancels only this participant's booking (YEMISCE asks: “Cancel this participant's booking?”). The button is shown only for confirmed participants and only until the session starts. If the participant paid a prepayment, the button isn't there: cancel their booking from “Details”, where you can decide what to do with the prepayment.
If a participant booked a weekly series, their name shows the class number, for example “Series 3/8”, and a “Cancel entire series” button. It cancels all upcoming classes of the series for this participant only (YEMISCE asks: “Cancel all future visits in this series?”). See Recurring bookings.

Adding a participant yourself

  1. In the calendar, click “Booking”.
  2. Choose the group service, the specialist, the date and the same time as the session.
  3. Enter the client: name, phone and, optionally, email. If the client is already in your client base, you will see “Client found”.
  4. Click “Create booking”.
The participant joins the session and the counter on the tile goes up. If all places are already taken, you cannot create another booking for that time.
To book a participant for several weeks at once, tick “Repeat weekly” before saving and set “How many times (this visit included)”. Weeks when the class has no places left are skipped.

If a participant cancels

Their place is freed: the page shows a free place at that time again, and the session stays in the calendar for the other participants.
The time only counts as freed once every participant has cancelled. After that you can use it like any other free time — see Freed-up time: how to fill it.

FAQ

Why did the time disappear from the page when the session hasn't started yet? All places are taken. If you can take more people, increase “Capacity” in the service settings.
Does a group session affect the specialist's other bookings? Yes. While the session is running, the specialist is busy, so nobody can book them for other services at that time.
Is the price per session or per person? Per participant. Each booking has its own price.
How many places can I set? As many as you need. If you enter a very large number (over 1000), YEMISCE asks you to confirm it is not a mistake.
