Offer a client an earlier time

How clients agree to come earlier, where you can see it, and how to send a client with a later booking an offer to move into freed-up time with one button.

When time frees up, you can fill it not with a new client but with someone already booked for later. The client comes earlier, and their later slot becomes free — which is easier to sell. YEMISCE asks clients in advance whether they are open to this, shows you whom you can offer an earlier time, and sends them the offer. The booking only moves if the client accepts.
  1. In “Settings” → “Booking”, the “Open slots” block, “Ask clients if they want an earlier time” must be on. It is on by default.
  2. The online booking form then has a “Notify me if an earlier time opens” checkbox.
  3. If the client ticks it, YEMISCE saves the consent on their client record.

You can see the consent on the client's card in “Clients”: the “Can move earlier” item shows “Yes” or “None”. To change it, untick or tick “Can move earlier (the client agreed to earlier-time offers)” on the same card and click “Save”.

How to offer an earlier time

  1. Open the freed time in the calendar — the “freed” block — and click “Fill” or “Suggest”. See Freed-up time: how to fill it.
  2. In the panel, find the “Can come earlier: …” block. It contains later bookings of the same specialist whose duration fits into the freed time.
  3. Check the status under the name:
    • “Agreed to come earlier” — the client agreed to earlier-time offers;
    • “No consent to an earlier time” — no consent;
    • “Offer sent — waiting for the client's answer” — an offer has already been sent and there is no answer yet.
  4. Click “Suggest” next to the booking you want.

“Offer sent. The booking moves once the client accepts.” appears at the top. If the client has no available notification channel, you will see “The offer was created but couldn't be sent: the client has no available notification channel.” — contact the client yourself in that case.
While the client hasn't answered, the button next to their booking reads “Send again”. It sends the offer once more, and the previous one stops working.

What the client receives

The client gets a message through their notification channels — for example, email, Telegram or push — with a link to the “You can come earlier” page. It shows the current booking time, the offered time and two buttons:
  • “I accept” — the booking moves to the new time, and both the client and you get a reschedule notification;
  • “No, keep my time” — the booking stays at its current time.
Below the buttons it says: “If you don't answer, your booking stays at its current time.” The offer is valid for 24 hours, but no longer than until the offered time begins. If someone takes that time in the meantime, the client sees that it is already taken, and their booking stays unchanged.
Once the client accepts, their old time becomes freed in turn, with its own “freed” marker. You can fill it the same way.
When you publish an opening for today with notifications, the offer goes to clients with this consent who have booked this service before. Clients on the waitlist whose request fits the opening get the offer even without separate consent. See “Open today”.

FAQ

Why is there no “Can come earlier: …” block? None of this specialist's later bookings fits into the freed time. A booking must be confirmed and no longer than the freed gap.
Can I move a client earlier to a different specialist? No, the list only has bookings of the same specialist. Alternatively, reschedule the booking manually — see Rescheduling a booking.
The client agreed by phone. Do I have to wait for them to click “I accept”? Yes, “Suggest” only moves the booking after the client answers. If you have already agreed and want to move the booking right away, do it manually — see Rescheduling a booking.
I don't want to ask clients about earlier times. Turn off “Ask clients if they want an earlier time” and save. The checkbox disappears from the booking form. Consents clients gave before are kept — remove them on the client card if needed.
