Recurring bookings

A client can book several weekly visits in one go, and you can create such a series in the calendar. How it looks on your page and in the calendar, why some dates may not get booked, and how to cancel the whole series.

A recurring booking is a series of weekly visits booked in one go: the same weekday, the same time, the same specialist. A client can book a series on your page, or you can create one in the calendar. It suits regular workouts, lessons, therapy or group classes.
Each visit in the series is a separate booking. You can reschedule, complete or cancel it independently of the others.

How a client books a series

  1. On your page, the client picks the service, the specialist and the time of the first visit.
  2. They tick “Repeat weekly”.
  3. Under “Number of visits” they choose 4, 8 or 12 — or enter a “Custom number” from 2 to 52.
  4. They fill in their details and finish booking as usual.

The “Repeat weekly” checkbox is controlled by the “Recurring bookings” switch in “Settings” → “Booking”, in the “Online booking” block. It is on by default, and the checkbox appears in the booking form for every service. If you turn it off, clients can only book a single visit on your page.

Creating a series in the calendar

If a client arranges regular visits with you by phone or in person, you can create the series yourself:
  1. Open “Bookings” and click “Booking”.
  2. Fill in the service, specialist, date and time of the first visit and the client's details — as for a regular booking. See Creating a booking for a client.
  3. Tick “Repeat weekly”.
  4. In “How many times (this visit included)”, enter the number of visits — 2 to 52, 4 by default.
  5. Click “Create booking”.
A week when this time is already taken is skipped. You will see “The series of bookings was created.” or “The series was created, but some weeks were skipped: that time is already taken.” at the top. The “Recurring bookings” switch doesn't affect this form — it only applies to your page.

Why some dates may not get booked

YEMISCE checks every date of the series separately — just like a regular booking. A date is skipped if that time is already taken, blocked, falls on the specialist's day off, the group class has no places left, or — with “Protect against dead gaps” on — the booking would leave a gap next to it shorter than your shortest service.
After booking, the client sees a summary such as “Booked 4 of 8 visits” and a “Couldn't be booked:” list with the dates that couldn't be taken, plus the hint “You can book these dates individually later.”.

Series and “How many days ahead”

“How many days ahead” in “Settings” → “Booking” limits only the date of the first visit — the client picks it from the times offered on your page. The rest of the series can go beyond it. For example, with booking open 30 days ahead a client can book a course of 12 weekly visits, as long as the first one is within the next 30 days. See Online booking settings.
Visits of a series are booked at the same local time, including after the switch to summer or winter time. All visits of a series fall within a year of the first one.

What the client and you receive

  • The client receives a confirmation of the first visit and a reminder before each visit.
  • You receive one new-booking notification.

The series in the calendar

Each visit in the series is a separate tile in the calendar marked with its number, for example “2/8”. Click the tile and the card shows “Series 2/8”.
The numbering follows the number of visits chosen when booking. If some dates were skipped, there will be gaps in the numbering.

How to manage a series

  • One visit. Click the tile, choose “Details” and reschedule, complete or cancel this visit like any other booking. The other visits stay as they are.
  • The whole series. Click any visit in the series and choose “Cancel entire series”. YEMISCE asks “Cancel all future visits in this series?”. All future visits are cancelled; past ones stay unchanged. The freed time appears in the calendar as “freed”. The client receives a cancellation notification with the date of the nearest cancelled visit. The “Cancel entire series” button is shown as long as the series still has upcoming visits.
The client can also manage the series from their booking link: it shows “This is session 2 of 8 in the series” and the buttons “Cancel only this visit” and “Cancel the whole series”. This follows your cancellation rules — see Cancellation and rescheduling by the client.

FAQ

Can I create a series myself from the cabinet? Yes — with “Repeat weekly” in the new booking form in the calendar; see “Creating a series in the calendar” above. If a client buys a course of visits upfront, also use session packages.
Can a series repeat other than weekly? No, a series is always weekly.
Does a series work for group classes? Yes. The client takes one place in each class of the series, as long as places are available. In the calendar these visits appear inside the group class tile: click the tile and the participant shows “Series 3/8” and a “Cancel entire series” button that cancels the upcoming classes of this participant only. See Group bookings. The client can also cancel the whole series themselves from their booking link.
The client doesn't see the “Repeat weekly” checkbox. Check that “Recurring bookings” is on in “Settings” → “Booking”. The checkbox sits in the booking form below the time picker. If there are no free times in the coming days, the form isn't shown — and neither is the checkbox. A series can't be booked from a free opening in “Open today” — only a single visit.
