Freed-up time: how to fill it

What the “freed” marker in the calendar means and how to fill that time quickly: book a client from the waitlist, offer the time to a client with a later booking or publish the time on your page.

When a booking is cancelled or rescheduled, its time does not simply disappear from the calendar. YEMISCE marks it as “freed” and offers several ways to quickly find another client for it.

When “freed” appears

The marker appears in place of a booking that was:
  • cancelled by you or by the client;
  • moved to another time by you or by the client.
The only condition is that the visit has not started yet. For a group session the time counts as freed only when every participant has cancelled.

Where to see it

In “Calendar” view. Freed time is shown as a separate block labelled “freed” and “Fill”. The calendar legend calls it “Open slot”.
Click the block to open a short menu:
  • “Fill” — opens the panel with all options;
  • “Suggest” — if there are later bookings that could come earlier;
  • “Waitlist” — if there are waitlist requests for this service;
  • “Open today” — publish the time on your page;
  • “Leave free” — close the menu.
All buttons except the last one lead to the same “Fill” panel.
In “List” view. Freed time is a separate row with “Booking”, “Block time”, “Fill” and, for today's time, “Open today” buttons. To see only these rows, use the “Freed” filter.

The top of the panel shows the time range, the service and the specialist. Below are the ways to fill the time.

Publish as “Open today”

The “Open today” button publishes this time on your page. “Notify matched clients (waitlist and clients who agreed to an earlier time)” is ticked by default, so those clients get an offer to book.
This only works for time today. Details are in “Open today”.

Book a client from the waitlist

The “Waitlist” block lists requests for this service whose preferred dates and time fit — and, if the client chose a specialist, only for that specialist's time. Click “Fill” under a client's name and YEMISCE immediately creates a booking for them at the freed time.

Offer the time to a later booking

The next block, “Can come earlier: …”, lists later bookings of the same specialist that fit into the freed time. Each one has a status underneath:
  • “Agreed to come earlier” — the client agreed to earlier-time offers;
  • “No consent to an earlier time” — the client gave no such consent;
  • “Offer sent — waiting for the client's answer” — you have already sent an offer and the client hasn't answered yet.
The “Suggest” button sends the client an offer to come at the freed time. The booking only moves once the client clicks “I accept”. Details are in Offer a client an earlier time.

Leave it as it is

“Leave free” simply closes the panel. The time stays free: clients can book it from your page, and you can create a booking manually.

When the marker disappears

The “freed” marker disappears as soon as any booking of the same specialist takes that time, fully or in part: a client's online booking, a series visit, an “Open today” booking, a booking you create in the cabinet (including with “Fill”), or a booking moved to that time — by you in the calendar, by the client via their link, or by a client who accepted an earlier-time offer. The service can be any.
Once the freed time has passed, the marker disappears too.

FAQ

Can clients see freed time on my page? Yes, as ordinary free time, if it fits your online booking rules. The only way to highlight it on the page is “Open today”.
Why is there no “Waitlist” block in the panel? No request fits: it must be for the same service, have the status “Waiting”, the freed time must fall between “Date from” and “Date to” and within the preferred time (if given), and if the client chose a specialist it must be that specialist's time.
I click “Open today” and get an error. You can only publish time today that has not started and is still free. For another day, use the waitlist or offer the time to a client with a later booking.
