Importing clients from CSV or XLSX

How to move your client base from a spreadsheet or another app: the template, which columns YEMISCE recognises, checking the file before import, and what happens to clients who are already in the base.

If you already keep clients in a spreadsheet, notebook or another app, there is no need to enter them one by one. Upload a CSV or XLSX file — YEMISCE shows what it recognised and adds the clients only after you confirm.

Preparing the file

The easiest start is the template:
  1. Open “Clients” → “Import clients”.
  2. Click “Download template”. You get an Excel file with column names in your cabinet language.
  3. Delete the sample clients from the template and paste in your own.
You can also use your own spreadsheet. YEMISCE looks for column names in the first row of the first sheet; column order and letter case do not matter.

Ukrainian column names (Ім'я, Телефон, Нотатка, День народження, Дата останнього візиту, Кількість візитів) are recognised as well.
A few rules for the data:
  • include the country code in phone numbers, for example +380671112233. A number without a code is treated as a number from your business's country;
  • dates as 2026-08-12 or 12.08.2026, or a regular Excel date;
  • empty rows are skipped;
  • a file can hold up to 1,000 clients and be up to 5 MB.

Uploading the file

  1. “Clients” → “Import clients”.
  2. Choose your file in the “CSV or XLSX file” field.
  3. Click “Check file”. Nothing is added yet — this is only a check.
  4. Review the “Preview” block: “Recognized: …” and “With errors: …”. Below are the first 10 recognised rows and a list of rows with errors.
  5. If everything looks right, click “Import clients”.
You will see “Clients imported.”, and the clients appear in the list.
Rows with errors are skipped; all other rows are imported. To add the skipped ones, fix the file and upload it again.

If a client is already in the base

A client counts as the same person when the phone number matches. YEMISCE then does not create a second card but only fills in the existing one:
  • the name is not changed;
  • email, note and birthday are added only if the card does not have them yet;
  • the last visit date is updated if the file's date is later;
  • the number of visits is updated if the file's number is higher.
So it is safe to upload the same file again.

Good to know

  • Clients receive no messages about the import.
  • If a row has no number of visits, the client gets 1 visit when the file has a last visit date, and 0 when it doesn't. After that, visits that have already taken place in YEMISCE are added to the visits from the file.
  • The last visit date from the file affects the order of the client list. Until the client has a visit with you in YEMISCE, the client list shows this date under “Last booking”. “Visit history” in the card shows only bookings made in YEMISCE.

Row errors

  • “Missing name” or “Missing phone” — the name or phone cell is empty.
  • “Invalid phone number” — the number does not look real. Check the digits and the country code.
  • “Invalid last visit date” or “Invalid birthday” — the date could not be read. Use 2026-08-12 or 12.08.2026.

FAQ

I see “Name and phone columns are required”. YEMISCE did not find name and phone columns in the first row. Rename them as in the table above, or use the template.
I see “Too many rows”. The file has more than 1,000 clients. Split it into several files and upload them one by one.
I see “Only CSV or XLSX files are supported”. Save the spreadsheet as .xlsx or .csv. The old .xls format is not supported.
I see “Invalid file”. The file is damaged or could not be read. Save the spreadsheet again as .xlsx and retry.
I see “The file is too large: up to 5 MB.” The file is bigger than 5 MB. Remove extra sheets and columns from it, or split the clients into several files.
I see “Choose a CSV or XLSX file.” No file was chosen. Choose it in the “CSV or XLSX file” field and click “Check file” again.
I see “Import is available with an active subscription.” Your access to YEMISCE has ended. Pay for the subscription and try again — see Subscription payment: monthly or annual.
I see “Too many attempts. Try again later.” You can check files up to 10 times in 15 minutes. Wait a little.
Can I undo an import? No. Clients cannot currently be deleted from the base in the cabinet, so review the “Preview” carefully before clicking “Import clients”.
