Online format: meeting link and client instructions

How to switch your business to the online format, add your own Zoom, Google Meet or Telegram link or have Google Meet links created automatically, and where clients see the link and instructions.

If you work remotely — consulting, teaching or running classes online — switch your business to the online format. Your page then shows no address, and after booking the client receives a meeting link and your instructions on how to join.

How to turn on the online format

  1. Open “Settings” → “Business”.
  2. In the “Work format” block, choose “Online” (“Appointments happen remotely”).
  3. Check the “City” field — it's required for the online format too.
  4. An “Online meeting” block appears below. Set up the meeting method and the instructions (see below).
  5. Click “Save”. If everything is fine, “Saved” appears.

Meeting method

The “Meeting method” field offers two options.
“Use my own link” — “Use a permanent link or one you create yourself”. This suits you if you have one permanent room in Zoom, Google Meet or another service.
  1. In “Meeting service”, choose Google Meet, Zoom, Telegram, WhatsApp or “Other”.
  2. In “Link”, paste the full link starting with https://.
Every client gets the same link.
“Google Meet — create automatically” — “A unique link after the booking is confirmed”. For each booking YEMISCE creates a separate Google Meet meeting in the Google Calendar of the specialist the client booked with.
This option appears only once at least one specialist has connected a Google Calendar with write access and Google Meet support. Until then you'll see the hint “Automatic Google Meet becomes available after a specialist connects a writable Google Calendar that supports Meet.” How to connect a calendar: Google Calendar.
When this option is selected, a required “Fallback link” field appears — “For bookings with specialists whose Google Calendar can't create Meet links: the client gets this link instead of none.” Paste a permanent link to your room (Zoom, Google Meet, etc.) starting with https://. Without it, the changes aren't saved.

Instructions for the client

In “Instructions for the client” (up to 1,500 characters), write what the client needs to know before the meeting. For example:
  • how many minutes before the start to join;
  • whether a camera and headphones are needed;
  • what to prepare: documents, questions, a notebook;
  • the meeting password, if there is one.
The client sees the instructions together with the link.

What the client sees

On your public page, “Online” is shown instead of an address. The link itself never appears there: “Only clients with a confirmed booking can see the link.”
After booking, the client finds the link and instructions:
  • on the screen right after booking — a “Join” button;
  • in the booking notifications — the confirmation and the reminder;
  • on the booking management page that the notification links open — a “Joining instructions” block and a “Join” button;
  • in the “My bookings” cabinet, if the client uses it.

Opening hours in the online format

There's no address or map in the online format, but your business opening hours still matter: clients see free time only within these hours. They're set in “Settings” → “Business”, in the “Business opening hours” block. More in Business opening hours.

FAQ

After saving I see “Check the fields”. Make sure the link starts with https:// and “City” is filled in. If you chose “Google Meet — create automatically”, check that a specialist's Google Calendar is connected and supports Google Meet.
I see “Not saved: automatic Google Meet needs a fallback link.” Fill in the “Fallback link” field — clients of specialists whose calendar can't create Meet links get it.
I changed the link. What do clients who have already booked get? Bookings made earlier keep the link that applied when they were created. New bookings get the new link. If no link was set when the booking was made, the client sees the current one. The same goes for the client instructions — both on the booking management page and in “My bookings”.
What happens to the Google Meet link if a booking is rescheduled or cancelled? After rescheduling, the link stays the same. After cancelling, the meeting is removed from the specialist's calendar and the link disappears.
The client doesn't see the “Join” button. Check that the booking is confirmed and that a link is set in the settings. For automatic Google Meet, check that the “Fallback link” is filled in: bookings with specialists who haven't connected Google Calendar get it.
Can I have both a physical address and online meetings? No, there's one format for the whole business: either “Physical location” or “Online”.
