Client base: search, filters and the client card

Where to find all your clients, how to search and filter the list, what the client card shows and how to add a client by hand.

The “Clients” section collects everyone who booked with you online, everyone you booked yourself and everyone you imported from a file. You can see when a person last visited, whether they have an upcoming booking, and keep private notes.

How clients get into the base

YEMISCE recognises a client by phone number or email. When someone books again with the same number, the new booking goes into their existing card instead of creating a new one.

The client list

Each row shows:
  • name, phone and email;
  • “Last booking” — date and service of the most recent visit that has already happened (cancellations and no-shows are ignored). For a client imported from a file who hasn't visited you in YEMISCE yet, it shows the last visit date from the file;
  • “Next booking” — the nearest confirmed future booking;
  • the number of visits — those that have already happened (cancellations, no-shows and future bookings are not counted), plus visits before YEMISCE if you imported the client from a file.
Badges can appear next to the name:
  • “BD” — the client's birthday is today or within three days either side;
  • “Possible duplicate” — another card has the same phone or email, see Merging duplicates;
  • “Waitlist: …” — the client is waiting for an opening; the service, preferred date and time are shown.

Search and filters

The “Search by name, phone, or service” field matches the name, phone, email and the service of the last or next booking.
The list shows the 120 most recent clients. If you have more, you'll see “Showing 120 of … clients” above the list. Searching by name, phone or email still covers the whole base — start typing, and a moment later you'll see “Whole-base search for “…”: … found”. Click “Clear search” to go back to the full list. You can type a phone number in any format, for example “050 123”.
Below the search there are filters with counters:
  • “All”;
  • “Future booking” — has a confirmed upcoming booking;
  • “No future booking” — has none. Handy for finding people to invite back;
  • “Waitlist” — has an active request on the waitlist;
  • “No-show” — at least one no-show;
  • “Recent” — last visit within the past 30 days.

The client card

Click a row to open the card. At the top: phone, email and “Birthday”. Then:
  • “Next booking” and “Last booking”;
  • “Cancellations” — how many bookings the client cancelled and how many times they did not show up;
  • “Can move earlier” — “Yes” if the client agreed to come earlier when a slot frees up (see Offer an earlier time).
In the “More” block:
  • “Visit history” — up to six latest bookings: date, service, specialist, source (“Online”, “Manual” or “Imported”) and status;
  • “Notification channel” — how the client receives messages;
  • “Waitlist” — the client's requests and their status;
  • “Notes” — your private notes about the client, up to 500 characters. Edit the text and click “Save” — you'll see “Saved.”;
  • “Session packages” and “Client file” — shown when these features are on. See Session packages and Client file.

Adding a client by hand

  1. In “Clients”, click “Add client”.
  2. Fill in “First and last name” and “Phone” — both are required.
  3. Optionally add “Email”, “Birthday” and “Notes”.
  4. Click “Save client”.
You will see “Client added.”. The client receives nothing — adding someone to your base does not notify them.

FAQ

I see “A client with this phone number or email is already in the base.” A card with this phone or email already exists. Find it with the search.
I see “Check the phone number - it looks invalid.” The number does not look real. Check the digits and add the country code.
I see “Fill required fields correctly.” The name needs at least 2 characters, and the email must be in a valid format.
Can I change the name, phone or email in the card? Only “Notes” can be edited in the card. The name is updated when you create a calendar booking for the client with the same number and a new name.
Can the client see my notes? Not on the booking page and not in the client cabinet. However, if the client requests an export of their data, the “Notes” from the card may be included in that file, so keep them professional. “Client file” entries are not part of a client's export.
