Specialist schedule: working hours, unavailable time, days off

How to set a specialist's working days and hours, block a few hours on one day, add days off or a vacation — and who on the team can change what.

A specialist's schedule decides when clients can book them. It has three parts:
  • “Working hours” — the regular weekly schedule;
  • “Unavailable time” — a few hours on one specific day;
  • “Days off and vacation” — whole days when the specialist isn't working.
Clients only see free times when the specialist is working according to their schedule and the business is open. For business hours, see Business opening hours.

Where to open the schedule

The owner manages every specialist's schedule, including their own:
  1. Open “Team”.
  2. Click the specialist.
  3. At the top of the panel, click “Work schedule”.
A team member opens “My schedule” in their cabinet. They can always add unavailable time and days off for themselves. They can change their weekly working hours only if the owner has turned on the “Edit own working schedule” permission — see Staff permissions. Without it, they see their hours read-only, marked “Schedule is edited by the owner”.

Working hours

  1. In the “Working hours” block, tick the days the specialist works.
  2. For each ticked day, set the start and end time.
  3. Click “Save schedule”.
An unticked day is a non-working day. In read-only view it shows as “Day off”.
Each day has a single time range. To take out part of a day — say, lunch on Wednesday — add “Unavailable time” for that day.
A new team member gets a copy of the schedule of the team's first specialist (usually yours). Check and adjust it right after adding the team member.

Unavailable time: a few hours on one day

For a doctor's appointment, a meeting or a break.
  1. In the “Unavailable time” block, choose the “Date”.
  2. Set the “Start” and “End” — within one day.
  3. Optionally add a “Note” — only your team sees it.
  4. Click “Block time”.
You can create the same kind of block straight from the calendar — see Blocking time.

Days off and vacation: whole days

  1. In the “Days off and vacation” block, set “From” and “To”. For a single day off, pick the same date twice.
  2. Optionally add a “Note”, such as “Vacation”.
  3. Click “Add days off”.
YEMISCE blocks the days completely — from the start of the first day to the end of the last — as a single entry in the list. A range can be up to 366 days long.

The “Scheduled” list

At the bottom of the page you'll find the upcoming blocks: days off are shown as a date or a date range (a single day is marked “whole day”), unavailable time as a date and time. Blocks created in the calendar appear here too.
To cancel a block, click “Remove” next to it. The time becomes bookable again immediately. You can't edit a days-off range — remove it and add a new one.

What the client sees

Blocked time and days off simply aren't offered for booking. Clients never see your notes. If the specialist has connected Google Calendar, busy time there can block time as well — see Google Calendar.

FAQ

I see “This time is already blocked.” There is already unavailable time in that period. Check the “Scheduled” list.
I see “There are bookings in this time. Reschedule or cancel them first.”, but there's no booking at that time. YEMISCE also takes “Preparation before booking” and “Break after booking” around neighbouring bookings into account. Shift the block or reschedule the booking. See Gaps between bookings.
I see “Check the dates and times: the end must be after the start.” The end is before the start, or the “To” date is earlier than “From”. Fix it and save again.
How do I set a daily lunch break? There is no repeating break. Add “Unavailable time” for each day you need.
Who can remove a specialist's days off? The owner can remove any block for any specialist. A team member can remove the blocks they added themselves. Days off and other blocks the owner added can be changed or removed by a team member only with the “Edit own working schedule” permission. Without it, “Remove” shows “You do not have permission for this action.”
A team member can't see where to change their working hours. Turn on “Edit own working schedule” for them in “Team”, or change the schedule yourself via “Work schedule”.
