Merging duplicate clients

What the “Possible duplicate” badge means, how to merge two cards of the same client, and what to do if they are actually different people.

Sometimes one person ends up with two cards in your base — for example, if their phone number was once saved in a different format. YEMISCE spots these cases and offers to merge the cards so the client's visit history lives in one place.

How YEMISCE finds duplicates

Two cards are treated as possible duplicates when they have the same phone number or the same email. The check runs every time you open “Clients”.
The same name with different contacts is not treated as a duplicate. You cannot merge two arbitrary cards by hand — only the ones YEMISCE has flagged.

Where to see duplicates

  1. Open “Clients”.
  2. A “Possible duplicate” badge appears next to the client's name.
  3. Click the row to open the card. The “Possible duplicates” block shows the other card: name, phone, email and number of visits.

Merging the cards

  1. In “Possible duplicates”, click “Merge”.
  2. In the “Merge these clients?” window, under “Which card should stay as the main one”, pick the card to keep. The one with more visits is preselected.
  3. Check the “Total visits after merging” line.
  4. Click “Merge”.
You will see “Clients merged.”, and a single card remains in the list.

What happens during a merge

  • The second card's bookings, reviews and connected notification channels (Telegram, push) move to the main card.
  • “Client file” notes are tied to visits, so they move together with them.
  • The visit counts of both cards are added up.
  • “Can move earlier” is kept if either card had it.
  • “Notes” of both cards are kept: the main card's notes first, the second card's below them.
  • If the main card has no phone, email, birthday or link to the client's account, they are taken from the second card.
  • If the second card has a different name, phone, email or birthday, it is added to the main card's “Notes” — for example “Other phone: +380…”. Nothing is lost.
  • The second card's visit history, session packages and waitlist entries show on the main card.
The second card is deleted.

If they are different people

Sometimes one phone number belongs to two people, such as a parent and a child. In that case:
  1. In “Possible duplicates”, click “Not the same person”.
  2. In the “Mark as different people?” window, click “Yes, different people”.
You will see “Marked as different people.”, and YEMISCE will stop suggesting a merge for these cards on this phone number or email.

FAQ

After merging I see “You do not have permission for this action.” The cards are no longer considered duplicates — for example, they were just merged in another tab or marked as different people. Refresh the “Clients” page.
I marked cards as different people by mistake. How do I get the suggestion back? This cannot currently be changed in the cabinet. Write to us at hello@yemisce.com and we will help.
Is the client told about the merge? No, the client receives nothing.
